How a Leading Online Education Provider Cut Repetitive Questions for Teachers and Thousands of Students

How a leading online education provider cut repetitive questions for teachers and thousands of students

  • Industry: Education

  • Scale: over 15,000 students annually, delivered through eLearning and blended learning

  • Users: both students and teaching staff

  • Engine: AutomatiCworX's reasoning engine, deployed as a question-answering layer, not paired with action execution

  • Scope: class material, course and assessment policy, and administrative questions

The customer

A large accredited further and higher education provider delivering programmes entirely online and through blended learning, across childcare, healthcare, business, and technical subjects, to a student body in the thousands. Teaching is carried out by a relatively small core of full-time staff supported by a larger pool of subject tutors, a structure that puts real pressure on how much individual question-answering each teacher can realistically absorb.

The challenge

Online and blended learning removes the built-in moments a classroom gives a student to ask something small, so those questions all end up in a message to a tutor or a support inbox instead. Multiplied across thousands of students, the volume becomes enormous, and a large share of it is genuinely repetitive: what does this section of the course material mean, when is this assessment due, what is the policy on an extension, where do I find this module's resources, how does this accreditation requirement apply to me.

Teachers were absorbing that volume on top of actually teaching and assessing. Every question about the syllabus or a policy that a tutor answered individually was a question that could, in principle, have been answered directly from material that already existed, the course content, the handbook, the accreditation rules, just not in a form students could search themselves and trust.

Why AutomatiCworX

The institution deployed AutomatiCworX's engine as a question-answering layer available to students and teaching staff alike, not paired with action execution. It does not submit assignments, change enrolments, or issue extensions. It answers, grounded in the institution's own course material and policy documents, and hands off when a question needs a person's judgement rather than a documented answer.

That grounding matters for two different audiences at once. A student asking about a concept in this week's material needs an answer drawn from that exact material, not a generic explanation. A student or teacher asking about an assessment or accreditation policy needs the institution's actual current policy, not a plausible-sounding guess. The system is built to say when it does not know, rather than answer confidently and incorrectly on either.

AutomatiCworX in action

A student asks a question about a concept covered in this week's course material. The system answers directly from that material, in context, without the student needing to wait for a tutor to reply.

A student asks about the deadline and late submission policy for an upcoming assessment. The system answers from the institution's actual policy, correctly and consistently, the same way every time regardless of which student asks or when.

A tutor fields a question from a student about how a specific accreditation requirement applies to their course. Where the system is confident the answer is a documented policy fact, it answers directly. Where the question depends on the individual student's circumstances, it says so and directs them to their tutor.

Across the deployment, the system carries the recurring volume: questions about class material and course content, assessment and submission policy, module and programme structure, and the general administrative questions that make up a large share of what both students and teachers field every week.

The results

Teaching staff spend less time re-answering questions that already have a documented, correct answer, and students get those answers immediately instead of waiting on a reply, at a scale that would be impractical for a support team of this size to handle one message at a time.

What is next

The question-answering layer gives the institution a grounded foundation it can extend further into course-specific tutoring support and, over time, toward lightweight administrative actions, once it is ready to take that step.
